What are Packages and how can I create them?
Packages are any spa packages you have, these will consist of the Appointment types/ Session types/ Area bookings/ Retail products that you have set up.
To create a Package go to Settings > Offerings > Packages > Add new package type > enter Name > Create
If you select the three dots next to the package you will be able to 'Edit', 'Copy' or 'Archive' the package.
If you archive packages you will be able to find them by toggling on the 'Archived packages' button. Here you will then see a list of all archived packages and you will be able to restore them by selecting the three dots > Restore.
If you select 'Edit' you will then be able to work through these steps within the package as required.
Details settings
Name - name of this package
Description (Mandatory) - this will display to your customers on your Trybe Shop if chosen to be 'Public' or accessible 'By link only'.
Shop Image - Here you can upload an image that will be used for this Package on the shop front. If no image is chosen Trybe's default shop image will appear. The image must be max 1mb and dimensions should use the aspect ratio 3 / 2.
Product code - add a code for this Package. This will be displayed on the package in the order overview.
Categories - let us know the what category/ categories this Package belongs to. Customers will then be able to filter using these categories on the shop when making a booking. For example, you could create a category called 'Day packages' then all your packages with this category will appear when this is selected on the shop front.
Default Revenue Centre - any revenue left over after the allocations are set will be allocated to Spa Treatments or you can change the Default by clicking on the field and selecting the relevant Revenue Centre. Any revenue within the Package that has not be allocated to a revenue centre will automatically go to the default revenue centre.
View allocation summary - when setting up your choices in settings you can select the revenue centre you want this specific choice to go to along with the revenue amount (for more info head to the 'Package choices' step). Once you've created all the package choices you can review the Revenue Centre Allocations that will be attributed to this package in your PMS and in any Trybe Reports by selecting 'View allocation summary'. Any revenue that is not allocated in this summary will go to your default revenue centre.
For any Overnight Packages, the Default Revenue Centre should be set as 'Other'.
Allocations is an IMPORTANT part of the integration with your PMS platform for End of Day revenue reporting. If this is not completed before your first Revenue Posting, the revenue may not be posted to the correct Revenue Centres in your PMS/posted at all.
Visibility
Public - discoverable by anyone (if no restrictions on members etc). Select this is you want customers to be able to book this on your website.
By link only - only accessible to people who have the link (unique URL generated for this specific appointment type). This means it won't be indexed on search engines and won't be found on your category pages online.
Private - won't appear on your booking engine at all. Can only be booked by users via the app.
Please note that if availability rules are not set, this package will not be visible online for customers to book and for users it will always show as unavailable. You will need to set up the availability of the package.
Members settings
Members only - toggle on if this package is only available if you have a membership.
Permitted membership types (Restrict this item to certain membership types) - if you toggle on 'Members only' you will then be able to select which membership types should be allowed to book this package. If you want all membership types to be able to book then you can leave this section blank.
Membership booking windows - If depending on the Membership type you allow some members to book further in advance or closer to the booking date you can set up the rules dependent on the membership type of the customer. Simply toggle this option on to activate. You can then select 'Add new booking window'...
Membership type - select the membership from the drop down menu. This will display all of the membership types in your system. View the guide on creating membership types here.
Earliest booking - choose when to open up bookings. For example, if you select 7 days here bookings for 30th June will be available from 23rd June. You can leave this as 'None' if no restrictions are needed.
Latest booking - choose when to close bookings. For example, if you select 4 hours here bookings for 5pm will be available until 1pm. You can leave this as 'None' if no restrictions are needed.
You can set up as many membership windows with different 'Earliest booking' and 'Latest booking' restrictions to as many membership types as you want!
Guests
Hide prices - if toggled on this will stop prices appearing in emails to the customer, except if the customer purchased this item from the shop.
Couples - if you want this package to require 2 guests you can toggle this on to make it a couples package.
As this is the last section of the 'Details' tab remember to 'Save' when finished.
Availability
Maximum daily duration - you can use this tool to control the amount of time a guest stays on the premises. Select a maximum time between the start of the first choice and end of the last choice from the drop down menu.
Earliest booking - choose when to open up bookings. You can choose from days/ hours/ minutes. For example, if you select 7 days here bookings for 30th June will be available from 23rd June. You can leave this blank if no restrictions are needed.
Latest booking - choose when to close bookings. You can choose from days/ hours/ minutes. For example, if you select 4 hours here bookings for 5pm will be available until 1pm. You can leave this blank if no restrictions are needed.
For both the earliest and latest booking rules, if you have set rules for days/ hours/ minutes and then want to clear the rule set you can just select the 'clear' option to remove the rule you have set.
Please note: The Latest booking will only apply to online orders but the Earliest booking will apply to online orders and orders made in the app via a user.
Prevent overlaps - toggle this on if you do not want the choices in the Package to overlap.
Availability rules - to set the dates this Package can be booked select the 'Add new availability rule'. If this Package is only for a certain period of time (e.g. a Xmas Special) set the 'From' and 'To' dates. If this Package is permanent just leave this section blank. Tick and untick the weekdays this applies to. Select 'Create'. You can then '+ Add new rule' for as many you need. These can be edited or removed by selecting 'Edit' or 'Delete'.
Remember to 'Save' to save any changes.
Pricing
Price rules: Here you can set up the pricing across the course of the week. You’re able to set up different pricing for different days or date ranges. Once you select 'Add new price rule', a pop-up will appear asking for pricing information. If you just want the price to run constantly across the course of the year, don’t fill in the dates section. If you want this pricing to only be valid between certain dates, fill this in. Tick the days of the week this applies to. Fill in the price for this rule and press 'Create'. You can 'Edit' and 'Delete' these rules.
Your Price rules should match the Availability you have set up for this Package i.e. if this Package is available every day of the week make sure there is a price rule for everyday of the week. If not the customer could book a day with no price rule and consequently get this Package for free.
Package choices
Now you've created a general description, availability and pricing of the package, you can now create the Package Choices that a customer can choose from.
To do this select the Package choices tab!
> Then select 'Add new package choice' > a pop up will then appear:
> Details > Create a Name i.e. Treatment Choices and a Description i.e. Choose from our relaxing 60 minute facials or massages> Next.
> Offering type > select from Appointments/ Sessions/ Area bookings/ Products (Package choices can only be associated with one offering type. Changing the offering type will clear all selected offerings.) Tick as many items from the drop down that you want as options within this choice
> Finish
This choice has now been added to the package and you can fill in the information for this choice within this package.
The choice will show:
Name
Offering type:
Appointment types/ Session types/ Area booking types/ Products (depending on the offering type you have selected)
Visible - if the type 'Product' has been selected then this option will appear. You can use this feature if you need to add items that are purely a part of the package i.e. Robe & slipper hire. You can toggle this on to make it visible when customer is booking or you can turn it off and it was not be visible when booking.
All items within this choice will be listed. You can tick/ untick these from the drop down list. You can select the three dots next to the item to:
Edit price change - if you would like you can set how much money should be added to the package if this option within the choice is chosen. For example, if an appointment changes the price of the package, you can enter the price change/surcharge that should be added i.e. if the package costs £30, but selecting a certain Massage makes the price £40, add £10 in the price change field.
Remove - select this to remove this option from the choice
Any options in the package that have been set up for an increased price/price change will shown during the booking process, so you can quote this to the client in real time (see images).
Select 'More options' on the choice to reveal further sections:
Description
Optional - toggle this on if you want this choice to be optional. Leave this off if this choice within the package is mandatory.
Allow multiple options - If the customer is allowed to choose multiple offerings when booking this choice then toggle this on. Once toggled on the 'Total budget' option will appear...
Total budget - Set the total budget for options that will be included with this choice. All options will be added using their non-package price. If the budget is exceeded, the excess will be added to the price of the package. For example, if you select a £100 budget here, the guest will be able to add options worth up to £100, if they exceed £100 they will have to then pay for the excess.
Auto-select timeslot- When enabled, we'll automatically pick the best timeslot for this option.
Hide times - When enabled, we won't display times for these bookings to the customer.
Allow overlaps - toggle this on to exempt this choice from following the 'prevent overlaps' rule. This choice will then be allowed to overlap with the times of other choices. This button will only appear if you have toggled on 'Prevent overlaps' in the Package Availability settings.
Revenue centre - select which revenue centre you want this choice to be allocated to i.e. Food & Beverage / Spa Retail / Other. If left blank it will be assigned to your default revenue centre.
Revenue amount - If you have selected a revenue centre for this choice, here you can then enter the amount of Revenue to allocate to the revenue centre.
Head back to the 'Details' tab in the package settings to see where you can edit the default revenue centre and also 'View allocation summary'.
Start time rules:
Start time rules allow you to ensure your guests can only book a choice at either a fixed time, so between a select period of time, or relative to the start of the package, so at a specific time in relation to the start of the package.
[If you have selected Product as the offering, you will not have the option for a start time rule]
Start time rules - select 'Add new start time rule' then you can select a type of either 'A fixed time' or 'Relative to start of the package'
A fixed time: here you can set a 'First' and 'Last' allowed time so treatments can only be selected with a start time between these. Select 'Create' to add this rule to the choice. To delete this rule select three dots > delete.
Relative to start of the package: you can select the minimum allowed time and maximum allowed time that this choice must take place in relation to the start of the package i.e. if a certain choice must take place exactly 1 hour after the package starts then you could set the minimum and maximum allowed time to 60 mins. Select 'Create' to add this rule to the choice. To delete this rule press the red bin icon.
Remember to press 'Save' to save all of the information within this choice.
Once saved, you can press 'Add new package choice' to continue to add more choices to this package.
Once you've created multiple options, you can reorder the choices by selecting the three dots on the choice > move up/ move down. By selecting the three dots you will also be able to 'Delete' a choice.
Meta
Here you will be able to specify advanced metadata about this offering for SEO purposes.
You can enter:
Meta title
Meta Description
The Metadata you enter here are essentially invisible tags that provide data about your page to search engines and website visitors.
When you have entered in the info select 'Save changes'.
Don't worry if you don't know what this is for. If these are left blank, we'll set your metadata for you automatically based on the title and description of your offering!
Related offerings
You can link this particular item to other offerings to upsell them! To do this head to the 'Related' tab. Select 'Add some' or 'Add more' if you already have some listed, then you can select the offerings from the list.
Upsell - use this feature to upsell any other Appointments, Sessions, Courses, Area bookings, and Packages. You can select as many as you like. These offerings will appear on this item page under the header "Interested in upgrading?". They are placed under the "Add to Order" button for maximum visibility. When the customer adds an upsell offering, it replaces the original offering. Use this to try get customers to upgrade to a higher priced offering.
Retail upsell - use this feature to entice the customer to buy a product to go along with their order. You can select as many products as you like. These products will appear on the checkout page whenever a customer has this item in their basket. From the checkout page, they can add the products to their order. Therefore, if they choose to add a product they will book the appointment and buy the product.
Also interested in - These offerings will appear at the bottom of the item page under the header "You might also be interested in". You can choose from any other Appointments, Sessions, Courses, Area bookings, Packages and Products.
You can leave any of these sections blank if you do not want to add any related offerings.
When all information is added remember to press 'Save changes'.
To remove any related offerings select the 'x' next to the offering so it will no longer appear on the shop when purchasing this particular item.

Audit log
The audit will display a timeline of any changes/ updates that have been made to the package. For example if an availability rule was changed or deleted. It will display the change made along with the date/ time and which user did this.
