Manage your client profiles

How can I view or update information on a client's profile?

Through the client page you can manage your clients.

To do this, head to the 'Client profiles' page (Clients > Client Profiles) and select a client from the list. The client's profile will then appear, where you’ll be able to edit and manage all sections of their profile.


On the client profile you can do the following:

View/ Upload/ Take a client photo

Select the three dots next to the person icon to be able to 'Take photo' or 'Upload photo'.

Edit profile

Select 'Edit' to edit any information that has been set up about the client such as:

  1. First/last name

  2. Email address

  3. Phone number

  4. Date of birth

  5. Preferred language

Here, you can also reset their password by selecting the blue 'Reset' button. This will send an email to the client, using the address linked to their profile, allowing them to reset their password.

Settings

When selecting 'Settings' on the client's profile, you will find three options:

  • Manage passes: If you have an existing pass for your client, such as a physical membership card, you can associate it with your client profile. Click here for more information about it.

  • Lock: If you'd like to restrict who on your team can edit a client's details, you can lock specific profiles. This can be helpful when maintaining consistent client contact information across multiple platforms. Click here for more information.

  • Delete: You can delete a client's profile by clicking on 'Delete'. This will anonymise the client in any appointments, sessions, etc., they have booked at the spa. Please click here for more information before proceeding with the deletion.

Manage labels

You can add and delete any client labels attached to this client by selecting the 'Manage labels' button. You can tick and untick the labels.

Notes

Select '+New' to add any notes regarding the client, i.e.. could use this feature to expand further on any labels that are associated with the client.

Audit

Keep track of any changes that have been made to this client profile.

Memberships

You can add a membership type to the client by pressing '+New'.

Orders

This will list any orders where this client is the lead booker. Select '+New' to create an order for this client straight from the client profile.

Intake forms

This will provide a collection of intake forms that have been filled out by this client

Addresses

Add any addresses for the client, select '+New'.

A pop-up window will appear, allowing you to fill out the sections to enter the client's address:

Payment methods

Here, the payment method that the client has used and saved will be displayed.

When a payment method is saved, if your client changes their credit card and wishes to remove it from their profile, you can do so by clicking on the three dots > 'Cancel' as shown below:

Credits

A list of any 'redeemed', 'revoked', 'redeemable' or 'expired' recurring credits (membership credits) or Course credits will be shown here.

Membership credits will automatically appear in this credits section here if the membership credit is set up as recurring credit in the memberships section. Course credits will automatically appear here if the client has purchased a course via an order.

You cannot manually add Course credits via the client profile but you can manually add membership credits by selecting '+ Issue', you can select an expiry when adding these too if needed.

To revoke a credit press the three dots next to the credit and select 'Revoke'.

From the client profile you cannot edit the expiry date of a credit (both membership credits and course credits).

Marketing preferences

You will be able to see what marketing preferences this client has opted in for. Here you can manually opt someone in by selecting '+ Opt in'. Then you can choose from the marketing preferences you have set up and press 'Opt in' to save changes. If they change their mind you can select the three dots next to the marketing preference and select 'Opt out'.
