If you want to ensure that only certain people in your team are able to edit a Clients details, you can lock certain profiles. This might be useful if needing to maintain client contact information across multiple platforms.
Please note that only Users with the "Spa Manager" role, or with the specific "Lock Profile" User permission will be able to lock and unlock a client profile.
Lock the client profile
If you have the correct permission access, when you are in the client profile, you can lock it by clicking on "Settings", on the right hand-side, and selecting "Lock":
A pop-up alert will appear asking if you're sure you'd like to lock the profile:
If you confirm this action, by clicking "Lock", another pop-up will appear on the right hand-side of the screen confirming the action:
While a client profile is locked, yourself and other Users (with the right permission to edit a client's profile) can still:
Check-in the client (through the "Check-in" button in their profile - image reference below. This is valid only for clients who have a valid membership and need to be checked into the premises e.g. gym; if you are checking them in for e.g. an appointment, you'd need to do it in the order or the calendar - see guide)
Add client labels (see guide)
Add a note in the client's profile
Create a membership from the client profile (see guide)
Create an order from the client profile (see guide)
View the Intake forms in the client profile, if the Users have the right permissions and access (see guide)
Add, edit and delete a new address in the client profile
Issue a credit, if the client has a valid membership (see guide)
Opt in/out the client from marketing preferences. It's your responsibility to ensure the client has provided consent (see guide)
While a client profile is locked, other Users cannot:
Unlock the client profile, unless they same the same User role or permission as you
Edit any client's personal details (such as their first and last name, phone number, email address...) - there is a lock next to the wording "Details".
Add or edit the clients profile picture
This will also prevent your clients from making any changes to their Contact details and will display a message to the client on their My Account page on the Trybe shop to contact your Spa team.
The client's profile can be unlocked only by a User who the Spa Manager role, or the specific app permission "Unlock Client" (LINK GUIDE)
Unlock the client profile
Once you have completed the necessary steps, you can unlock the profile by repeating the same steps as before: Settings > Unlock:
The pop-up will appear asking you to confirm you wish to unlock the profile:
Once you confirm, the pop-up will appear on the top right corner of the screen confirming the profile has now been unlocked:
This client details for this client profile can now be edited by any user and the customer.
