Trybe Kiosk: How it works

An overview of the Trybe self-service Kiosk: what guests can do, how check-in works.

The Trybe Kiosk is a self-service tablet that lets your guests check in for their bookings independently, without needing to stop at reception.

What can guests do on the Kiosk?

The Trybe Kiosk supports the following guest actions:

  • Check in for an existing booking (via QR code or manual entry)

  • Pay an outstanding balance on their order

  • Complete an intake form

  • Associate a wearable wristband with their profile (if your site uses wearable payments)

  • Create a new booking

The check-in flow:

When guests approach the kiosk they will be presented with the home screen and 2 options: Make a new booking (if enabled) or Check in.

How to check-in:

To start the check-in process, the guest will first select 'check-in' on the home screen.

On the next screen, they will see two options:

QR code scan

Guests scan the QR code from their booking confirmation email either on their phone or a printed copy. This is the fastest option and we recommend enabling it.

Manual entry

Guests will enter their order reference and the lead booker's last name.

If a guest is on the order but is not the lead booker, they will still need to use the lead booker's last name not their own.

If at the point of check in the guest has not completed payment, they will be prompted for payment.

They can select pay here which will prompt them to present their card and pay before proceeding to the ‘Lets check in’ page. Alternatively, they have the option to tap Pay at reception which will return the kiosk to home page.

Now that all payment have been settled, the guest can proceed to the next step:

At the 'Let's check in' stage the journey is the same for both QR code check-ins and manual kiosk check-ins. Once the order is found, the kiosk guides the guest through any remaining steps:

  • intake forms

  • wristband association

  • or payment, before confirming check-in

Intake form:

If you have set up an intake form to be completed by the guest for their chosen treatment, they will be prompted to complete their intake form at the kiosk if they have not already done so via their confirmation email.

If the intake from was already completed, this step will be skipped.

Collect a wristband

At this stage, the kiosk will prompt guests to collect their wristband.

Associate a wristband

Here guests will be asked to present their wristband to the card terminal to associate it to their order.

Attach a payment card to your wristband

Guests have the option to associate a payment card to their wristband. Alternatively they can skip this step.

If guests decide to add a payment method, they will be prompted to tap their card onto the card terminal.

Complete check-in

If you’ve set up instructions in your kiosk settings, they will appear on the last screen right before guests can select ' complete check-in'.

If a customer tries to check in outside of the check in time rules relative to the start time of their booking you have set up (guide here) they will be notified by the kiosk.

Create a new booking

When guests select Make a new booking from the home screen they can create a new order through the shop front. From there, the process is exactly the same as any orders made online.

Select desired treatment and add to order

Guests can use the kiosk to select offerings and add them to their order. Only offerings available on the shopfront will be bookable on the kiosk.

Once selected, the guest will be taken through the process of selecting a date and time, and then will be brought to the Check Out.

Enter details, apply any promo codes

The fields and functionality are the same as the online Shopfront check out.

Proceed to Payment and present card

Clicking ‘proceed to payment will bring guests to the payment screen where they can present their card to the card reader.

Confirmation email

After paying, guests will receive an email confirmation with an order reference number.
