Setting Up a Service Charge

Written by Emily O'Shea

You can create default service charge rates and choose which offerings they should apply to.

To do this head to Settings > Order management > Service charge and tips.

Service charge rates

Here you will see the option to set a 'Default percentage'. This is the default percentage that will apply if the offering does not have a service charge rate set up for it.

If you want to set up different service charge rates for different offerings, you will need to select 'Add rate'. Then you will have to enter in the following information:

  • Percentage - enter in the % amount for the rate

  • Offerings - go through your offerings and toggle on which offerings this service charge rate applies to

> Select 'Done' to create the rate.

The rate will then be added to the list of 'Offering rates'.

To edit a rate, simply select the rate and a pop-up window will appear.

To delete a rate, click on the three dots next to the rate you want to delete > 'Delete'.

You can create as many rates as you want for your offerings!

If you only want to apply a service charge to a specific number of offerings and none to the others, you’ll need to leave the ‘Default percentage’ set to 0, and only toggle on the offerings you want within the list you've created under ‘Offering Rates’.

For example, below, the 10% service charge will only apply to the 6 selected offerings. No service charge will be applied to the unselected ones because the default percentage is set to 0. The default refers to all offerings that haven’t been toggled on for a specific rate, these will receive the default amount.

Please note: Service charge will not be applied to customer orders from your shop. If you want to apply a service charge to an online order you can manually do this once the order has dropped into Trybe.

Tip on card reader

By toggling on the option 'Enable tipping on card readers', you allow your customers who pay through Trybe Pay the choice to add a tip on the card reader.

If this option is toggled off, when your customer pays on your card reader, they will not have this choice offered.

When making changes, don't forget to click on 'Save' at the bottom right of the page!

Once this has been enabled, this will mean that when a customer is paying via the card reader, an option to add a tip will appear. This is in addition to any service charge that may be added.

If a tip has been added via the card reader, in the 'Payments' section, the notes section will display how much tip was added for the transaction. The total tip amount will also then be displayed just above the 'total'.

To find revenue for tips in reports, head to Reports > Sales > and either go to Revenue Allocations Summary or Revenue Allocations breakdown. You can also see the tips applied by items when exporting the Sold items report.

Tip on exit gate

This section will only be relevant if you have Gantner GRT7 device and you have associated wristbands to the client in the order and a valid payment method is associated to the wristband.

Please note: in terms of what wristbands are supported for the tipping on exit gate, if you have an open card license, you can use any MIFARE wristbands. If you do not have this license, you will need to purchase Gantner wristbands from either Gantner or your Gantner reseller.

If you head to Settings > Order management > Service charge and tips > scroll down to "Tip on exit gate" you'll see you have the option to enable tips on exit...

You can choose between the three options:

  • Don't ask for tip - Guests won't be prompted to leave a tip when exiting.

  • Ask lead booker - Only the lead booker will be prompted to tip a percentage of the total basket value

  • Ask each guest - Each guest will be prompted to tip a percentage of their own spend. ("Ask each guest" option is not currently supported)

Simply select on the one you wish to implement and remember to scroll to the bottom of the page and "Save" to save changes.

Tip on exit

If you've decided you do want to ask for tips when guests are exiting via the access gates then here you can configure the percentage options...

You can configure the tipping percentages available to customers on exit. You can create up to four options. Simply enter in an amount and "Add". If you want to remove a tipping percentage you have set up then simply select "x".

Remember to scroll to the bottom of the page and "Save" to save changes.

Tip on exit - offering defaults

If you want to set up different tipping options based on the offerings then you can head to the "Tip on exit - offering defaults" section...

Here you can add a tipping offering rate by selecting "Add rate", a pop up will then appear where you can enter in the "Tip percentages", (please note you can only add up to 4 options per rate). Simply enter in the amount and "Add". You can then toggle on the relevant offerings where you want these tip percentages to be offered, select "Done" once complete...

You can delete "Tip offering rates" you have created by selecting the three dots next to the rate and "Delete"...

Remember to scroll to the bottom of the page and "Save" to save changes.
