How to sell a voucher?

Once you have set up your vouchers they can then be purchased.

Please view the steps below to see how you can purchase a voucher in Trybe and on the shop front!

How to sell a voucher in Trybe

To add a voucher to a customer's order as a user in Trybe you will have to head to an order or create a new order by selecting the '+New order' tab.

Here you will then +Add other > +Voucher > choose the voucher type from the list provided.

Once selected, you will need to provide the information for the person who will receive this voucher. You must enter in the Recipient name and the Recipient email as shown below:

If you would like you have the option to enter in a 'Custom voucher code'. If you would prefer Trybe to generate the code for you instead, you can just leave this blank!

You can also enter a 'Custom message' here that will be displayed on the voucher email and the PDF attached.

Then select 'Next' to head to the next page.

For the next stage, if your site offers voucher delivery and you have configured voucher delivery options in the settings, you will have a choice between these two options:

PLEASE NOTE: As soon as you create a voucher delivery option this will be an option when a user is adding a voucher to an order as shown below.

  • Mail: If you want to send the voucher by mail

    • 'Type to search' bar: From here, you will be able to enter the address and select the desired one from the dropdown list. You can also enter it manually by selecting 'Enter an address manually'.

    • Delivery option: It will be the delivery options set up in the settings. Please see this guide on how to set this up.

Once you're happy with this, select 'Add item'.

  • Email: If you want to send the voucher by email

    • Send manually’: The recipient will receive the gift voucher email straight after the order has been placed by the customer.

    • ‘Schedule send’: The customer will have to select a date, and then the recipient will only receive the gift voucher email on the date the customer has specified which allows them to keep the surprise until the last minute!

Once done, you can select 'Add item'.

Please note: If your site does not offer voucher delivery and no voucher delivery settings are configured, only the 'Email' section will appear, as shown below.

After you have added the voucher to the order, you can click on the three dots next to the voucher and you will able to:

  • Go to Voucher: Redirects you to the voucher code page.

  • Edit delivery details: Allows you to edit the voucher's delivery details.

  • Edit message: Enables you to edit the voucher message.

  • Change guest: Lets you change the guest for the voucher.

  • Add discount: Allows you to apply a discount to the voucher.

  • Change price: Enables you to edit the voucher price. Please note this will only change the price of the voucher not the value of the voucher (how much money is on the voucher)

  • Remove item: Removes the voucher from the order. If you do this, this will update the voucher code to a "Revoked" status.

If you have chosen a 'Mail Voucher,' the 'Physical delivery' section will appear below the voucher, allowing you to view its details by clicking on 'See Details':

You will be able to see the set address as well as the selected delivery option.

⚠️For mail vouchers, the site will be responsible for handling the voucher delivery. To track the dispatch of the mail voucher internally, you can find more information here.

For email voucher, it is not automatically sent to the recipient if "send manually" is selected. So once you have taken the payment from the client you can then send the voucher to the Recipient. To do this select the three dots on the voucher item and select 'Send' next to the voucher. It will then pop up with the Recipient name and email so you can change this before you select 'Send' again.

The voucher expiry (if there is one set) is shown on the voucher item itself as shown with the arrow in the screenshot above. Your guest will also receive their expiry in the email that is sent out.

If you have scheduled a certain date for the recipient to receive the email using the "schedule send" option then you will be able to see this as the scheduled date will be displayed on the voucher item and it will state "Digital delivery - see details" so you can view the details there too...

If your guest wants to print their voucher, they will be able to do it as a PDF will be attached to their email.

Please note: You will not be able to 'Send' the email voucher out before a payment is taken. In order to send the voucher and use the voucher code, the order must be paid for and checked out!

How to check if the voucher email has been sent?

You will be able to keep track of whether the voucher has been sent to the recipient by heading to the 'Messages' tab on the order. If the voucher has been sent there will be an email listed here with the subject 'Your gift voucher', it will also show the email address this voucher went to and the date/ time it was sent. You can click on this email to view it!

How to purchase a voucher on the shop front

If you are allowing the 'Voucher' feature button to be displayed on the shopfront (see more details here), and that you have toggled on 'Public' for the Voucher visibility, it will then be purchasable on the shop front!

When on the shop front the customer will be able to head to the 'Vouchers' tab and this will display all the vouchers that are marked as 'Public' with valid availability rules.

On this page you will be able to see the Voucher type name, price and image.

If you select the voucher it will then enlarge the image and also display the description of the Voucher type that you will have set up in settings. On this page you can select 'Add to order' to add the voucher to your basket.

You will then be prompted to provide the information for the person who will receive this voucher. You must enter in the Recipient name and the Recipient email.

For the next stage, if your site offers voucher delivery and you have configured voucher delivery options in the settings, you will have a choice between these two options :

PLEASE NOTE: As soon as you create a voucher delivery option this will then automatically be an option on your shop front that your guests can then select when purchasing a voucher.

  • Mail: If you want to send the voucher by mail

    • 'Please search' bar: From here, you will be able to enter the address and select the desired one from the dropdown list. You can also enter it manually by entering the address in the section displayed.

    • Please select a delivery option: It will be the delivery options set up in the settings. Please see this guide on how to set this up.

The country will be automatically set based on the location where your site is registered, as international voucher delivery is not supported.

  • Email: If you want to send the voucher by email

    • Send immediately’: The recipient will receive the gift voucher email straight after the order has been placed by the customer.

    • 'Schedule send’: The customer will have to select a date, and then the recipient will only receive the gift voucher email on the date the customer has specified which allows them to keep the surprise until the last minute!

You can also add a 'Custom message', this message will be displayed on the voucher email that is sent to the recipient.

Please note: If your site does not offer voucher delivery and no voucher delivery settings are configured, only the 'Email' section will appear on the shopfront, as shown below:

Once the voucher is in the basket, you can proceed to check out and purchase it. You can also edit or remove the voucher either from the basket or the checkout page:

This will then give you the ability to edit the voucher before confirming the order.

If you have selected a specific date for your recipient to receive the email voucher, the chosen date will appear in your basket.

Once purchased, the customer will receive a confirmation email. The recipient of the email voucher will either receive the gift voucher email with the code automatically or on a specified date if chosen by the customer.

The customer will also be able to print its voucher as a PDF will be attached to it.

For voucher delivery, the customer who bought the voucher will receive a confirmation email as well, and it will then be the site's responsibility to send the voucher to the recipient.

Here is an example voucher.

As you can see the voucher email will contain:

  • Voucher image (if uploaded in the "shop image" section on your voucher type settings)

  • Voucher code

  • Expiry date (if there is an expiry for the voucher)

  • Custom message (if there is a custom message set, highlighted in green below)

  • Amount on the voucher (if it is a monetary voucher)

  • Message to recipient (if you have set this up in your voucher type settings, highlighted in red below)

  • 'Use your voucher' button to take them straight to the shop front to use the voucher

  • PDF attachment
