How to sell a voucher

Once you have set up your vouchers they can then be purchased.

Please view the steps below to see how you can purchase a voucher in Trybe and on the shop front!

How to sell a voucher in Trybe

To add a voucher to a customer's order as a user in Trybe you will have to head to an order or create a new order by selecting the '+New order' tab.

Here you will then +Add other > +Voucher > choose the voucher type from the list provided.

You will then be prompted to provide the information for the person who will receive this voucher. You must enter in the Recipient name and the Recipient email. For the next stage, you will have the choice in between those two options:

  • Send immediately’: The recipient will receive the gift voucher email straight after the order has been placed by the customer.

OR

  • ‘Schedule send’: The customer will have to select a date, and then the recipient will only receive the gift voucher email on the date the customer has specified which allows them to keep the surprise until the last minute!

Once done, you can select 'Add item'.

If you would like you have the option to enter in a 'Custom voucher code'. If you would prefer Trybe to generate the code for you instead, you can just leave this blank!

You can also enter a 'Custom message' here that will be displayed on the voucher email and the PDF attached.

Then 'Confirm' the order and take the payment for the voucher.

After you have added the voucher to the order if you then want to:

  • Add or edit a custom message you can do this by selecting the three dots > Edit message > here you can then edit the message > update.

  • Add or edit the gift voucher email date you can do this by selecting the three dots > Add/Edit delivery date > here you can edit the date > update.

The voucher is not automatically sent to the recipient so once you have taken the payment from the client you can then send the voucher to the Recipient. To do this select the three dots on the voucher item and select 'Send' next to the voucher. It will then pop up with the Recipient name and email so you can change this before you select 'Send' again.

If you have scheduled a certain date for your recipient to receive the email, make sure to double-check the date selected before sending out the gift voucher email.

The voucher expiry and delivery date are shown on the voucher item itself as shown in the third screenshot. Your guest will also receive their expiry in the email that is sent out.

If your guest wants to print their voucher, they will be able to do it as a PDF will be attached to their email.

Please note that you will not be able to 'Send' the voucher out before a payment is taken. In order to send the voucher and use the voucher code, the order must be paid for and checked out!

How to check if the voucher email has been sent?

You will be able to keep track of whether the voucher has been sent to the recipient by heading to the 'Messages' tab on the order. If the voucher has been sent there will be an email listed here with the subject 'Your gift voucher', it will also show the email address this voucher went to and the date/ time it was sent. You can click on this email to view it!

How to purchase a voucher on the shop front

If you have toggled on 'Offered online' for a Voucher type it will then be purchasable on the shop front!

When on the shop front the customer will be able to head to the 'Vouchers' tab and this will display all the vouchers that are 'Offered online'.

On this page you will be able to see the Voucher type name, price and image.

If you select on the voucher it will then enlarge the image and also display the description of the Voucher type that you will have set up in settings. On this page you can select 'Add to order' to add the voucher to your basket.

You will then be prompted to provide the information for the person who will receive this voucher. You must enter in the Recipient name and the Recipient email > Add to order. For the next stage, you will have the choice in between those two options:

  • ‘Schedule send’: The customer will have to select a date, and then the recipient will only receive the gift voucher email on the date the customer has specified which allows them to keep the surprise until the last minute! (see third screenshot)

You can also add a 'Custom message', this message will be displayed on the voucher email that is sent to the recipient.

Once this is in the basket you can then check out and purchase this voucher. If you have selected a certain date for your recipient to receive the voucher, the date chosen will then appear on your basket.

Once purchased the customer will receive the confirmation email and the recipient of the voucher will either automatically receive the gift voucher email with the code that can be used or receive it later if a date has been specified by the customer!

The customer will also be able to print its voucher as a PDF will be attached to it.

Here is an example voucher.

As you can see the voucher email will contain:

  • Voucher code

  • Expiry date (if there is an expiry for the voucher)

  • Custom message (if there is a custom message set)

  • Amount on the voucher (if it is a monetary voucher)

  • 'Use your voucher' button to take them straight to the shop front to use the voucher

  • PDF attachment
