You can connect your Trybe account to Profitroom so that when you receive a booking made via Profitroom this will instantly drop into Trybe. No manual entry needed!
To set this up, firstly, you will need to contact Profitroom to initiate the set up from their end. Once they have checked off what they need to do the next steps will be to configure the settings in Trybe to enable the offerings you want customers to be able to purchase via Profitroom and any availability rules.
For this, head to Settings > Integrations > OTA Availability:
From here, you'll firstly want to enable the offerings that can be sold via Profitroom. Simply navigate through the different offering types supported with Profitroom, which are Appointments, Sessions and Area Bookings. For any offerings you wish to enable, just select the toggle next to the offering name to turn it blue. Once you have gone through all offerings, make sure to select Save at the bottom right.
Before selecting the offerings on the OTA Availability page, please make sure to create a copy of the offerings you want to sell via Profitroom in order to create a new version with a zero price > When setting up the price for each offering, it must be set to 0 in order for the integration with Profitroom to work correctly.
To copy an offering, go to Settings > Offerings, select the type of offering you want to edit (for example, Appointment types), then click on the three dots next to the offering you wish to copy and select Copy. Be sure to rename it clearly so it’s easy to distinguish which offering is for Profitroom and which is not (e.g. Green Tea Facial Treatment – Profitroom).
The visibility of these offerings must be set to 'By link only' so they remain hidden from your Shop but are visible when used by OTAs.
Next, because these Orders will be made via an OTA, there may be some restrictions you wish to make to what can be booked, when and how many.
To do this, scroll down to the 'Availability rules' section > and select 'Add new rule'.
For each rule, you will need to define a Date range, then select the weekdays within this date range that should be available to book. Once you've select your dates, there's three Availability options to choose from - you MUST set up one of these rules for the integration to work:
Unlimited - this means that as long as there's availability for the offering as set up in your Trybe settings, then customers can book until you're fully booked.
No Bookings - if you need to block off a particular date or week you can use this to stop any bookings being accepted via the OTA.
Maximum Daily Guests - you can use this to set a cap of how many orders you want to be made via the OTA. Please note, you only need to use this if it is lower than what your availability rules in your Trybe settings would allow. If you set this higher, bookings will cap at your maximum availability on that day.
Once you have chosen your rule > select Create. Your availability rule for the integration has now been created.
