Set-up your integration
Do you use Guestline PMS to manage your Hotel Bookings? If so, you can integrate with our Overnight Booking Engine for your Spa Break bookings.
To activate the Overnight Booking Engine, please see the steps:
Contact our support team and request the feature. We'll be in touch with our bolt-on Standing Order for your reviewal and signature
Once the Standing Order has been signed, we will contact Guestline who will provide us with the credentials to get the integration configured to pull your room rates, pictures and descriptions across
Once we have completed the configuration with Guestline we'll reach out to confirm this.
Pricing: our overnight booking engine is a 2% commission on the total basket value + the Trybe Pay transaction fee
Please read through the below set up instructions in preparation for when you can begin creating your Overnight Packages. If at anytime you wish to run through the steps with a member of the training team please reach out to Support who'll be able to assist in arranging a call for you.
Create your overnight packages
Now that the backend configuration is complete you can begin creating your overnight packages.
Within your Package Type Settings, you’ll now see an 'Overnight package' section. If the package you’re creating includes an overnight stay, this option must be enabled.
Once enabled, you’ll need to select a corresponding Guestline rate and define the number of nights included in the package. Please note that the number of nights is fixed per package and cannot be changed dynamically.
Guestline Requirements: You must have bed only or bed & breakfast rates created for the rate plans you wish to use. Should you be unsure how to create new rates and how to map these for the integration, please contact the Guestline support team. We will set up the spa elements within the package in Trybe and will link these to Upsell products in Guestline.
In your pricing section, you will also find a 'Booking Engine' option. If you enable it, the minimum price for each date will be displayed on the calendar on your booking engine underneath each date.
Activating the overnight option will automatically add a Choice 1, labelled 'Hotel Room', to your package. This will be the room selection displayed on the shopfront.
All spa-related options can then be added as additional choices after the room selection, as you would normally do for your packages.
The room choice will always appear as Choice 1, and its position cannot be moved.
The price rule set in Trybe will only apply to the spa choices of the package. For example, if the package contains:
Spa Access with a revenue allocation of £50
A treatment with a revenue allocation of £80
Afternoon Tea with a revenue allocation of £50
The package price should be set as £180. When a customer goes to book online the price they will see will be the total of the £180 spa elements + the price of the cheapest room available. For example, if the cheapest room was £200 for the night, the price the customer will see when booking will be £380.
By default, the revenue allocation for the packages will be assigned to the 'Room' revenue centre. However, if you need the spa choices to be directed to a different revenue centre, you can configure the revenue allocation for each choice as usual.
Guestline Requirements: For any Revenue Centres you are assigning your Spa Choices to in the Package, you'll need to create a corresponding Upsell Product for each of them in Guestline. When creating the Product in Guestline the Product Code must be the same as the Revenue Centre name/ID in Trybe. You must also ensure the upsell is created with charge mode ‘single charge’ and posting mode ‘day of arrival’. See below screenshot for reference.
For the Default Spa Treatment and Food & Beverage revenue centres in Trybe, please enter the Product Code as spa and fb respectively.
For any assistance with creating Upsell Products in Guestline please contact the Guestline Support Team.
Booking the overnight package online
When a guest selects an overnight package online, the number of nights included will be displayed in the package description.
After choosing their preferred dates, the first step in the booking flow will be to select a room. Room details—such as descriptions, images, and capacity—are automatically pulled from your PMS.
Once a room is selected, guests can then choose from the available spa options, which can be booked across the duration of their stay.
Example: The Thermal Access can be booked for the 21st and the treatment can be booked for the 22nd.
What details are included in the Order in Trybe?
Once a guest has successfully booked and paid for their overnight stay on your Trybe Booking Engine, the Order will drop in to Trybe as usual. The main differences you will see in the details given for Overnight Stay packages will be:
Date - for the room, you'll see two dates; the check in and check out date illustrated with green and red arrows
Service - for the room, you'll see the number of guests and name of the room plus the name of the Room Rate
Both highlighted below:
What details are included in the Order in Guestline?
The Reservation will also drop in to Guestline. You will see the below details:
On the 'Main' page - you'll see the Rate Plan used and a nightly breakdown of the room cost
On the 'Main' page - you'll see a Total Breakdown of the full price of the package including the spa elements / upsells. As the customer would have paid, this total will show as a Deposit Received and Remaining Balance will show as £0.
If you then navigate to the Upsells page > scroll down to the bottom of products where you'll find the breakdown of the Spa elements of the package.
