To access your dashboards head to the Home tab.

Your dashboards will provide you with reports that will help you track your orders, payments, refunds and occupancy.

Your Daily Sales and Daily Revenue reports should help provide you with all the information you'll need for your end of day reporting and procedures.

There are three different dashboards to choose from...

  • Daily Sales

  • Daily Revenue

  • Occupancy

  • Revenue Projection

Daily Sales

The Daily Sales dashboard allows you to track orders, payments and refunds based on the day they were added in Trybe.

To access your Daily Sales dashboard head to Home > Daily Sales.

When you open the Daily Sales dashboard it will automatically show you everything that has come through your system today. You can change the dates by pressing the arrows or select the calendar icon to move between the months.

The dashboard will display:

  • Number of orders - the total number of order that have been made today will be displayed here. It will also show the number of guests too, as there can be multiple guests within an order.

  • Order value - this will show you the amount of money made from orders placed today. There will also be an average amount per order listed.

  • Advance bookings - this will display an average of how many days in advance the advanced bookings were made for.

  • Payments - this will list the payment methods alongside the total amount for that particular payment method that have come through today.

  • Refunds - this will display the order ref for any refunds that have been requested today and the amount of the refund.

Daily Revenue

The Daily Revenue dashboard allows you to track orders, payments and refunds based on the day the revenue is received.

To access your Daily Revenue dashboard head to Home > Daily Revenue.

When you open this dashboard it will automatically show you the information for today's date. You can change the date by pressing the arrows or select the calendar icon to move between different months.

The dashboard will display:

  • Number of orders - the total number of order that are booked in for today. It will also show the number of guests too, as there can be multiple guests within an order.

  • Order value - this will show you the amount of money made from orders booked in today. There will also be an average amount per order listed. (Gross value)

  • Posted to PMS - the number of orders booked in for today that have been posted to your PMS.

  • Room occupancy - this will give you a percentage of how much of your rooms are occupied throughout the day. There is also a breakdown of this showing how many hours are booked out of your total bookable hours for the rooms.

  • Revenue - a list of the amount of revenue assigned to each of your revenue centres. (Net value and Gross value)

    • If you see a revenue centre called 'Goodwill' in the Revenue section with negative revenue, don't panic! If you refund an order that has been checked out and is in the past, it will add negative revenue to the Goodwill revenue centre to the date of the order.

  • Payment types - a list of your payment types and how much money has been taken by each payment method for orders booked for this date. (Gross value)

  • Orders - this will list all the orders that are taking place today. It will be listed by Order ref, Customer name, Value, Paid and Status.

  • Offering types - a summary of all the offerings that are taking place today. It will break it down by Type, Quantity and Value.

  • Top 5 - a list of your top 5 items for this particular date.

Order value is Gross value.

Revenue values are Net values.

Payment types are Gross values.

You may find that the despite the Order value and Payment types both being gross values, the numbers might be different. If the Payment types add up to more than the Order value this will mean there has been an overpayment on an order(s). Therefore, the overpayment will not be included in the Order value but will be included in the Payment types.

Occupancy

The Occupancy dashboard allows you to track the occupancy of your rooms and practitioners. It will also show you a break down of the booking types for each day.

To access your Occupancy dashboard head to Home > Occupancy.

The dashboard will show a weekly breakdown of your occupancy by day. You can change the week you are viewing by selecting the left and right arrows next to the date.

The report is broken down by day into three sections:

  • Room occupancy - the percentage shown here is based on how much of your rooms' availability has been booked. For this you would want it to be as close to 100% as possible as this would mean your rooms are 100% occupied for that day. (This section uses the colour coordination)

  • Practitioner availability - the percentage shown here is based on how many bookable hours your practitioners have left. For this you would want it to be as close to 0% as possible as this would mean all of your practitioners working that day have used all their bookable hours. (This section is colour coordinated)

  • Bookings - here you will be able to see the number of packages, appointments and session that took place on that day.

You will be able to quickly see the occupancy of your rooms and practitioners from the colours that are associated with the room occupancy and practitioner availability.

The colours and what they mean:

  • Red - if a section of the report is red this means that the occupancy for this room/ practitioner is bad. The practitioner/ room has many free hours that have not been booked.

  • Yellow - if a section of the report is yellow this means that the occupancy for this room/ practitioner is average.

  • Green - if a section of the report is green this means that the occupancy for this room/ practitioner is very good. The practitioner/ room doesn't have many free hours left. All or almost all of their hours have been booked.

Revenue projection

The Revenue Projection Dashboard allows you to track your revenue by day, week, month and by Revenue Centre.

At the top of the dashboard, you can drill down the report to a day, week or up to a month. The Date Range is based on the Item Date (Date each item in an Order is booked in for).

The Total at the top of the Report is based on the date range you set. This then gets broken down by any Revenue Centres that you have some revenue for across that date range.

Please note: Any remaining revenue assigned to the default revenue centre is classed as an 'item'. Therefore, counting the number of bookings on the calendar compared to the number of items stated on the report won't always match.

The Report is then broken into three sections:

Revenue with Packages

This section includes all Offerings (Appointments / Sessions / Area Bookings / Products / Courses / Vouchers & Packages) that have been booked in across that date range.

This section will list all Offerings you have sold over that date range and then will give you the total quantity sold along with the Net and Gross Revenue. Any Packages will be broken down by the choices booked.

If you scroll further to the right, the report will break down by day across the date range the report was filtered to.

As this report is based on Item date, if you sold any Overnight Spa Packages which contain items booked across two dates for example, the revenue will be allocated on the day it was booked for. Therefore, if you have a package booked for the 30th October to 1st November, and you pull a report just for October, the package breakdown would only show items booked in for the 30th October.

Revenue ignoring Packages

This breakdown allows you to get a snapshot of all your various Offering types whether they were booked as part of a package or individually. This will allow you to get a Total number of your services sold, without the breakdown of whether it was booked in as part of a package or otherwise.

As Products don't have an Item Date i.e. booking date, if the product is booked on it's own the Item date will be set to the date the item was booked.

If Products are booked as part of a package they will be given the same date as the other Package Items.

If package items are booked across multiple dates it will be given the final date of the package (Revenue Date).

By revenue centres

This section ignores the items and looks at the revenue brought in per Revenue Centre. This is shown as a Total and broken down by each date within the Date Range the report is filtered by.

The Quantity calculates the sum of all offerings booked as part of a package and individually, per Revenue Centre.

With Packages, if there were 4 offerings included in the package, the 4 offerings would be counted against the relevant Revenue Centre. If there's any additional Revenue i.e. Weekend surplus, this will be counted as an additional Item.
