Sessions Report

Do you want to see a report of all of your sessions and the availability and occupancy for these specific dates?

Well, there is a Report that will do this for you! Simply head to the Reports > Bookings > Sessions.

Session date: This is the date that the session is taking place (Revenue date). You can change the date range by selecting the current dates and choosing a new date range via the drop-down calendar.

You can select 'Add filter' if you want to filter the report. A pop-up will then appear where you can toggle on the following filters:

  • Practitioners - if toggled on you can then choose practitioners from the drop-down list

  • Rooms - if toggled on you can then choose rooms from the drop-down list

  • Zones - if toggled on you can then choose zones from the drop-down list

  • Session type - if toggled on you can then choose the session type(s) from the drop-down list

  • Include cancelled - if toggled on the report will then also include any cancelled sessions too. Any cancelled sessions will appear in the report and will be crossed out, as you can see below...

If you toggle on one filter you can then select 'Add filter' again to toggle on another filter.


The report will show you:

Num booked: this will give you a total number of guests who have booked onto the sessions (based on filters you have added). This total will include the session attendees that have and haven't been marked as "checked out". (View the guide on checking out session attendees here for more info).

Availability: this will give you a total number of spaces that are booked out of all the possible sessions spaces on the report (based on filters you have added).

Occupancy: this will let you know a percentage of how well those sessions are occupied (this is based on the availability tile not the number booked tile). Ideally you would like this to be 100% as this would mean there are no spaces left in the sessions currently shown on the report (based on filters you have added) so the sessions are at full capacity.

Difference between "Num booked" and "Availability":

The "num booked" is the total number of guests that are booked into the session. If you "check out" a guest via the session pop up on the calendar then this will release the session slot however, they will still be counted in the "num booked" tile and column. However, once you "check out" a guest via the session pop up on the calendar, the space is released so they won't be factored into the "availability" count as that space is now available again.

  • Date and time - the date/ time the session takes place

  • Duration - duration of the session

  • Type - session type, you can select on it to take you directly to the session settings page

  • Practitioner - the practitioner that takes the session, you can select on the name to take you directly to the practitioner settings page. If no practitoner is set up to take the session it will just display 'No practitioner'.

  • Room - the room where the session takes place, you can select on the name to take you directly to the room settings page.

  • Price - the price of the session

  • Availability - the capacity of the session and how many guests are attending

  • Num booked - the number of guests that were booked into this session (so this will include the session attendees that have and haven't been marked as "checked out"). View the guide on checking out session attendees here for more info.

You can also export the report too by clicking the 'Export' option. In the export you will see additional columns such as number of people on the waitlist and if there is a max basket set for the session.

You can also select the three dots on a session in the Report to 'View attendees' or 'Edit session'.

  • View attendees -

This will show you a list of attendees and from here you can head straight to the order by selecting the order ref...

  • Edit session -

Here you can make edits to this specific session...

Once you have made any edits be sure to select 'Save changes'.
