Email Campaigns

Learn how to create and manage customer segments and email campaigns to keep your clients updated about promotions and important updates

Email campaigns provide an effective way to keep your clients updated about promotions and general news about your business. In this guide, we'll explore the complete process of building customer segments (your audience), creating campaigns, and sending them to your customers.

How Email Campaigns Work

The email campaigns feature allows you to:

  • Create reusable segments (filtered customer audiences) based on customer labels and membership type (or all customers on the site)

  • Build campaign content with rich text formatting, links, and personalised placeholders (e.g. customer name, site name)

  • Support multiple languages within a single campaign

  • Preview a campaign before sending

  • Schedule a campaign for a future date/time, or send it immediately

  • Track delivery status (delivered vs. failed) once a campaign has been sent

Segments are built once in Settings and stay live, automatically reflecting which customers currently match the filters.

Creating Customer Segments

Segments are created by heading to Settings > Clients & memberships > Segments.

Here you can select "New segment" and a pop up will then appear where you can enter in the name of the segment and "Create"...

If "Create" more is toggled on then when you select "Create" it will redirect you to the segment's Details tab to choose who's included.

💡TOP TIP: You can toggle on "Create more", if don't want the "New segment" pop up to close so you can keep creating new segment names without being redirected to the segment's details tab.

Choosing who's in a segment

In the "Filters" section of a segment here you can define which customers are automatically included in the segment based on their labels and memberships.

  • All customers - a toggle that includes every customer on the site. Turning this on clears any other filters so the segment will include all customers.

  • Customer labels - here you can choose to include customers who have one or more of the selected labels (matches any of them). If you select on this filed, a drop down list will appear of all of your client labels you have set up in your settings, so you can tick the ones that you want for this segment

  • Customer membership - here you can choose to include customers with specific membership type(s), or choose Any membership to include customers with any active membership. If you select on this filed, a drop down list will appear of all of your membership types you have set up in your settings, so you can tick the ones that you want for this segment

Filters can be combined so you can create a segment for a specific label and a specific membership type.

Manage your segment members

Once you've created your segment and set up the filters, this will automatically populate the members of this segment based on the filters applied (i.e. specific labels/ membership types etc). You can head to the "Members" tab on the segment to view who's included...

It will list the customer, email and the status (subscribed or unsubscribed).

All members will automatically be subscribed if they match the filters however, you can choose to unsubscribe a client by selecting the three dots > unsubscribe...

If you unsubscribe a member from this segment, then you can view any by selecting the "subscribed" filter and this will then change the filter to "unsubscribed":

From here you'll see anyone that was automatically added as a member of the segment but was then marked as "unsubscribe", to re-subscribe them you can select the three dots > re-subscribe.

Editing/ archiving segments

If you want to edit or archive a segment. Head to Settings > Clients & memberships > Segments.

From here you can select the three dots to either edit or archive the segment

Creating Email Campaigns

To create your Email campaigns head to Clients > Campaigns > Create...

A pop up will then appear where you can enter in the name of the Campaign and then "Create"...

From here you can then click on the campaign in the list to be redirected to the campaign details page. This is editable while the campaign is unsent.

You'll see:

  • Status of the campaign - if it has been sent or not

  • Sent at - the date and time the campaign was sent or if not sent yet it will also let you know this

Details:

  • Name - internal name for your reference.

  • Customer segment - the audience the campaign will send to. Required before the campaign can be sent.

  • Scheduled at - optional. Leave this blank to send the campaign manually later.

If you select "Edit" in the "Details", a pop up will then appear where you can edit the details:

Here you can edit the name, choose the segment and schedule the campaign if you like.

To choose the segment, select on the "Customer segment" field, here the segments you've created in the segment settings will appear so you can choose one from the drop down menu...

To choose the date and time for the campaign to be sent, you can select the "Scheduled at" option and a calendar will pop up...

Here you can select the date on the calendar and enter in the time you want the campaign to be sent on that date. Leave this field blank to send the campaign manually later.

Select "Save" to save the details.

Email content:

Here you can compose your email.

Enter in the title of the email in the "Subject"

The Content section on the campaign detail page is where you compose the email.

  • Content - formatting options are headings, bold/italic/underline, links, and lists. You cannot add images.

  • Personalisation placeholders - use the placeholder button in the toolbar to insert tokens such as the customer's first/last name and email, the site name, or the organisation name. These are replaced with the actual value when the email is sent.

  • Preview - opens a rendered preview of the current subject/content in a new tab.

  • Save - click Save to persist your changes; unsaved changes are called out if you try to send.

Content can only be edited while the campaign is Unsent. Once a campaign has been sent, this section is replaced with a read-only delivery view (see "Reviewing delivery" below).

Multi-Language Campaigns

A single campaign can hold content in multiple languages:

  1. Write your campaign content in the site's default language first.

  2. In the Content section, use the language/locale picker to add another language and write its subject/content.

  3. All recipients in the attached segment receive the campaign; the locale picker controls which translated version of the content you are currently editing/previewing.

Scheduling and Sending

If you have scheduled the sending of the campaign you will see the date and time it's scheduled at, if you select on this you'll see more details regarding the timezone of the site compared to your timezone and the UTC time too.

If you want to manually send the email rather than scheduling you can do this by selecting "Send" in the top right.

A pop up will then appear, letting you know "Your campaign will be queued and sent in the background. We'll notify you once all messages have been delivered, this may take a few minutes depending on the number of recipients." Select "Send" to send the campaign..

It will then show you that the sending is "In progress" and the date and time it was sent...

After a campaign is Sent or Failed, its detail page shows a delivered/failed summary and a Sends table with per-recipient delivery status.

If recipients want to stop receiving campaigns, they (or you, on their behalf) can be unsubscribed from the relevant segment's Members tab.

Once it has successfully been sent, the status will update to "Sent" and it will show how many emails have been delivered, in this case it shows 6/8 were delivered...

In the "Sends" section, you'll see the list of recipients and it will have the status as to whether the campaign was successfully sent or not...

You can search for a certain recepient by entering their name in "Search recipients" field.

You can also filter the list by selecting "Add filter", a pop up will then appear where you can toggle on "Status"...

Once you toggle this on, you can then filter by the following statuses; All, Sent, Failed or Bounced...

Managing email campaigns (view/ send/ copy/ archive)

If you head to Clients > Campaigns > here you can see the list of your campaigns, you can use the "Search" bar to find a particular campaign.

If you select the three dots next to a campaign, you can choose to View, Send, Copy or Archive...

Please note: You won't be able to "Archive" a campaign if it's been sent already. You won't be able to "Send" a campaign if there is no segment selected for the campaign or if it has already been sent.

You can use the copy option to duplicate an existing campaign, including its content, as a new Unsent draft, so you can reuse a campaign without affecting the original.

Best Practices

  • Segment wisely: the more targeted your segment's filters, the more relevant the campaign will be to its recipients.

  • Preview first: always use Preview to review a campaign's content before sending.

  • Keep it personal: use placeholder tokens (e.g. customer first name) to personalize your messages.

  • Manage frequency: don't overwhelm customers with too many campaigns.

  • Honor unsubscribes: unsubscribed segment members won't be resent to until they're resubscribed - leave them unsubscribed unless a customer asks to opt back in.
