The CloudBeds integration will allow you to automatically post your spa payment and revenue to CloudBeds in real time. You can also charge spa treatments to guest rooms so they can pay when checking out.
To access the integration, head to Settings > Integrations > Manage Integrations > Cloudbeds.
Credentials
To get started, you need to authenticate with your Cloudbeds account. Click the Authenticate with Cloudbeds button where you will be redirected to log into Cloudbeds and authorise Trybe to use your account. If you have access to multiple properties make sure you select the correct property when authenticating.
Once authenticated you can enable the integration.
Account Settings
The account settings shows the property ID and property name that you are currently authenticated with. If you authenticated with an incorrect property or you want to change which property Trybe is connected with, just click Authenticate with Cloudbeds again.
You should also select which of your available house accounts Trybe should post revenues and charges to.
Mapping Configuration
Once authenticated and enabled, you will see the payment types you have created in your site settings.
For each Trybe payment method, you should select the matching payment method from your Cloudbeds account.
Revenue centre mapping is done within your Cloudbeds account. As revenues and charges are sent to your Cloudbeds account, each of the revenue centres will appear in Accounting > Custom Codes > Transactions > Point Of Sale / Integrations. Here you can enter a code for each revenue centre.
How will it work?
When the integration is enabled, it will do several things:
Posting Payments - Payments can be posted on the date the payment is made or on the revenue date, the behaviour you want needs to be set up when creating your payment types - see the guide on payment kind rules.
Posting Revenue - Revenue is posted as soon as a user checks out an order. See this guide on the Check In and Check Out process. The revenue will be posted to Cloudbeds on the date it was checked out. Therefore, if a user forgets to check out the order on the day the order took place and checks it out two days later, the revenue will post on the date it is now being checked out, i.e. 2 days later than when the order happened. If this happens, the revenue will need to be moved in Cloudbeds manually. You can use the Daily Revenue report to check that all orders have been posted to Cloudbeds in the 'Posted to PMS' section - see guide.
Disconnecting Cloudbeds
There are two ways you can disconnect Cloudbeds from Trybe:
Return to the integration page within Trybe (Settings > Integrations > Manage Integrations > Cloudbeds) and select Disable.
Visit the Trybe app page in the Cloudbeds marketplace and select Disconnect.
You can choose to reconnect Trybe and Cloudbeds at any time.
