Schedule View

The Schedule view is another way of viewing your Orders for a day. Instead of seeing your Orders on a diary / grid view, the schedule view will list your Orders in order of time, with your first item of the day showing at the top of the list.

To access the schedule view head to the Calendar > Schedule OR Calendar > View options > Schedule...

Filtering the schedule view

You will have the option to filter this schedule by Practitioners, Rooms & Zones, to have a more restricted view of your bookings. Once you've applied the filter of practitioner/ room/ zone or all three select "Done" to apply the filter to the schedule view. This is a really useful way particularly for your Therapists to view a list of Appointments booked in with them that day. They can do this by filtering the view by Practitioner and selecting their name.

How to print the schedule view

You can keep this schedule open to always have an updated version of the list when bookings are being taken online or manually. Your Therapists could even view this on their phone or iPad/Tablet. However, you also have the option to print your schedule by selecting “Print” on the top right of the section >

How to search for an order in the schedule view

If you are looking for a specific order in the schedule, you can search for the client’s name or the order reference in the available search bar...

Another advantage of using the schedule view is that you can directly manage your order. You can have access to the order by selecting the Order reference, which will redirect you to the order’s page, where regular functions can be put in place, like taking payment, editing items or adding an order note...

What you can see at a glance on the schedule view...

From this schedule view, you will be able to see some useful information from a glance.

Payment status

Appointments and area bookings will have a label to let you know if the order has been paid for or not. It shows the outstanding amount or if the order is fully paid...

The payment status will not show for sessions on the schedule view.

Intake form status

For appointment/ area bookings/ sessions, on the schedule view you will be able to see if the intake form has been filled out or not. It will either show "Intake form required" or "Intake form complete"...

Please note: If the order contains multiple guests, the intake form status will not update to "Intake form completed" until all guests in the order that require an intake form have filled it out.

Order labels and client labels

For appointments/ area bookings any client labels that have been added to the lead booker's profile or any order labels that have been added to the order will appear...

Any client labels/ order labels will not show for sessions on the schedule view.

Order notes

For appointment types/ area booking types, any order notes will be visible on the schedule view...

Any order notes will not show for sessions on the schedule view.

Checking in and out bookings (appointments and area bookings)

The operational usage of this schedule is really handy, as this list can be kept open during the day, while you are checking in and out clients throughout the day >

The option of checking in & out an order can only be done for Appointment types and Area booking types. This allows you to fully settle some of your orders throughout the day and make your End of Day procedure more time efficient!

Managing session types via the schedule view

For the Management of your Session types, the schedule view can offer you a way to record if participants are present for the sessions. By selecting the option “Show” under your session types, you will see the list of participants >

Once you have your list, you can select the three dots, which will give you the option to “Check in” or record as “No show” an individual client or the group >

It is important to keep in mind that this schedule option, for your session types, is not checking in or recording an order as a no-show. This allows you to record information about your session. If you want to check in or record as no show your order, select the reference number you can find next to your client's name. The information from the schedule is only to have some visual knowledge about the session type.
