The client list does not show in alphabetical order.
The behaviour and arrangement of the client list is that the last edited client profile will be at the end of the list.
This doesn't include operational edits like adding orders to a clients profile.
But making administrative changes like adding labels, changing customer details, and updating marketing preferences will push them from their place to the bottom end of the list.
To access this select the 'Clients' tab on the left hand side, and a list of your clients will appear. You can click between the pages to see more results.
The list will show the client name, email and any client labels that are attached to this client.
You will then be able to filter your search, use the search by bar, export the list of clients into excel, add new clients and manage your clients through this page.
Filters
You can use the 'Filters' option to filter your clients into certain categories.
You can filter by...
Labels - when you expand the labels filter a list of all the client labels you have created in settings will appear. You will then be able to select which labels you want to filter by. This will then produce results in accordance to which labels you have selected.
Marketing preference - when you expand the marketing preference filter it will list the marketing preferences you have set up in your settings. You can then select the preferences you want to see which clients have opted in for.
Has membership - when you expand this filter you can select 'yes' or 'no'. If 'yes' all clients with memberships will appear, if no all clients without memberships will appear.
Sites (only applicable for accounts with Multi-site access) - If you have an account with access to multiple sites there is also a Sites filter you can use. The client list will default to show you clients who have visited the site you're currently switched to. If you want to also look at clients who have visited your other sites, you can use the Sites filter to include clients from your other sites. (See image 3). The user will only be able to filter by the sites they have access to.
You can use all three subsections of the filters at the same time to filter your results more specifically.
Search by
You can use the 'Search by' tool to search for specific clients.
This can be done by either:
name (first or last or both)
email
phone number
Enter any of this information into the search by bar and the results will appear.
You will then be able to easily see the specific client you searched for and then go directly to their client profile.
Export
If you would like to export your clients into an excel spreadsheet you can do this by pressing the 'Export' button.
This will allow you to then download an excel spreadsheet with further information about your clients. You will then be able to save or print this information.
It will provide you with the below details:
Client ID
First name
Last name
Email
Phone
Date they became a client
Number of memberships
Number of active memberships
Membership type
Membership rate
Membership status
Date since they have been a member. (see example image on the spreadsheet)
Photo uploaded
Marketing preferences
(Membership details will be left blank if the client doesn't have a membership)
New client
To add a new client to your client list select the '+ New client' button.
This will lead you to a page where you can enter the following information about the client:
First name
Last name
Email
Phone
Brand (select which spa they are signing up to)
When all filled in select 'Save changes' and the client will now be added to the list.
Manage your clients
Through the client page you can also manage your clients.
To do this select on a client from the list and their client profile will appear. Here you will be able to edit and manage all sections of the client profile.
You can...
View/ Upload/ Take a client photo - select the three dots next to the person icon.
Delete - press the three dots > delete to delete a client profile. This will anonymise the client from any appointment/ sessions etc. they have booked in at the spa
Mange labels - you can add and delete any client labels attached to this client by selecting the 'Manage labels' button. You can tick and untick the labels
Notes - select '+New' to add any notes regarding the client, i.e.. could use this feature to expand further on any labels that are associated with the client.
Audit - keep track of any changes that have been made to this client profile.
Edit profile - select 'Edit' to edit any information that has been set up about the client. Here you can also reset their password by selecting 'Reset' in blue.
Memberships - you can add a membership type to the client by pressing '+New'.
Orders - This will list any orders where this client is the lead booker
Intake forms - This will provide a collection of intake forms that have been filled out by this client
Addresses - add any addresses for the client, select '+New'.
Payment methods - here will display the payment method that the client uses
Credits - list of any 'revoked' or 'redeemable' recurring credits will be shown here. You can add any credits by selecting '+ Issue', to revoke a credit press the three dots next to the credit and select 'Revoke'.
Marketing preferences - you will be able to see what marketing preferences this client has opted in for. Here you can manually opt someone in by selecting '+ Opt in'. Then you can choose from the marketing preferences you have set up and press 'Opt in' to save changes. If they change their mind you can select the three dots next to the marketing preference and select 'Opt out'.
