Course Credits Report

How can I track my Course credit's usage?

Written by Roxane Abrahams

Use the Credits Report to monitor the lifecycle of your course credits and understand their financial impact. It helps you:

  • Track how many credits have been issued, redeemed, expired, or revoked over a selected period.

  • Monitor the value of outstanding (redeemable) credits to understand potential future liabilities.

  • Analyse credit redemption trends by issue date, course type, and status.

  • Identify expired or revoked credits and ensure your credit balances remain accurate.

The Course Credits Report, available in the Finance section (Reports > Finance > Course credits), provides a complete overview of your course credits:

This report will allow you to see the total number of credits issued during a date range and a breakdown of their status by:

  • Redeemed Credits

  • Redeemable Credits

  • Revoked Credits

  • Expired Credits

This will further show you the monetary value of the redeemed and redeemable credits.

Filters

You can filter the report using the options below to understand how the credit has been used once it has been issued. Simply click Add filter to view the available options:

  • Issue Date - When the credit was issued to the client

  • Status - Filter by the individual credit's status

  • Course type - Filter by the type of courses you offer to clients

The Credits Report helps you monitor the lifecycle and financial value of course credits, giving you visibility into how credits are issued, used, expired, or revoked over a selected period.

Credits Information

At the start of the report, you will have different summary boxes, giving you an overall view of the credit status and value, based on the issue date:

  • Total Credits - All types of credits and status

  • Redeemable - Credit that has not been used yet

  • Redeemed - Credit that has been used against an offering

  • Expired - Credit that has passed its default expiry date

  • Revoked - Credit manually revoked from client profile

  • Outstanding Value - Value of redeemable credits

  • Redeemed Values - Value of redeemed credits

The report will then display the following information:

  • Status

  • Name of the Course

  • Customer's name

  • Value

  • Issued date

  • Expiry date

You can then export this report by selecting 'Export'. The Export contains further columns of data you may find useful when looking into your credits. For example;

  • Customer ID [Column C]

  • Course description [Column G]

  • Redeemed Date [Column L]

  • Revoked Date [Column M]
