Overnight Booking Engine with Guestline - Trybe Setup Guide

A step-by-step guide for setting up the Overnight Booking Engine on the Trybe side, including package creation, pricing, revenue centre mapping, and upsell configuration.

Overview

The Overnight Booking Engine allows you to sell spa break packages, combining hotel room nights (pulled live from Guestline/Roomlynx) with spa treatments and experiences, directly through your Trybe booking engine. Guests can browse room options, availability, and pricing in real time, and complete the full booking online.

This guide covers everything you need to configure on the Trybe side once the integration has been activated. For Guestline/Rezlynx configuration, please refer to the guide: Overnight Booking Engine with Guestline – Guestline Setup Guide.

Pricing: The Overnight Booking Engine is charged at 2% commission on the total basket value plus the standard Trybe Pay transaction fee. A separate bolt-on Standing Order must be signed before going live.

Prerequisites

Before setting up overnight packages, make sure the following are in place:

  • Your base Guestline integration is active in Trybe (Settings > Integrations > Manage integrations > Guestline). If not yet set up, follow the Guestline integration guide first.

  • Ensure all Revenue Centres you'll need are mapped to their corresponding Analysis Codes in Guestline. These can be mapped in Settings > Integrations > Guestline - see guide.

  • Guestline has been configured with the correct rate plans, upsell products, and pay codes required for the Overnight Booking Engine (see companion Guestline setup guide).

  • You have signed the Standing Order with Trybe for the Overnight Booking Engine bolt-on.

  • Trybe support has confirmed the integration configuration is complete and you are ready to create packages.

Step 1 - Request Activation

The Overnight Booking Engine is not enabled by default. To get started:

  1. Contact your Onboarding Executive or Trybe support team and request the Overnight Booking Engine feature.

  2. Our team will send you a bolt-on Standing Order to review and sign.

  3. Once signed, Trybe will liaise directly with Guestline to obtain the necessary credentials and complete the backend configuration.

  4. Trybe will reach out to confirm when configuration is complete and you are ready to build your packages.

Note: If at any point you'd like a walkthrough of the setup steps with a member of the Trybe training team, contact support and they will arrange a call for you.

Step 2 - Create Your Overnight Packages

Once activation is confirmed, navigate to your Package Type Settings to begin building your overnight packages.

Enable the Overnight Package Option

Within the Package Type settings, you'll see a new 'Overnight package' section. If the package includes an overnight hotel stay, this toggle must be enabled.

Once enabled, you will need to:

  • Select the corresponding Guestline rate plan for this package.

  • Define the number of nights included. Note: the number of nights is fixed per package and cannot be changed dynamically by the guest at the point of booking.

Guestline requirement: You must have bed only or bed & breakfast rates created in Guestline for the rate plans you wish to use. If you are unsure how to create or map rates in Guestline, contact the Guestline support team.

Enable Booking Engine Pricing Display (Optional)

In the Pricing section of your package settings, you'll find a 'Booking Engine' toggle. When enabled, the minimum available price for each date is displayed on the booking engine calendar beneath each date, helping guests understand pricing at a glance before they select dates.

The Hotel Room Choice

Enabling the overnight option automatically adds Choice 1, labelled 'Hotel Room', to your package. This is the room selection step that guests will see first on the shopfront.

Important things to know about the room choice:

  • Room details; descriptions, images, and capacity, are pulled automatically from Guestline. You do not need to add these manually in Trybe.

  • The room choice will always appear as Choice 1 and its position cannot be moved.

  • All spa-related choices are added after the room choice, as you would for a standard package.

Adding Spa Choices

After the room choice, add your spa elements (treatments, spa access, afternoon tea, etc.) as additional choices in the usual way (see guide).

Customers will be able to book all choices across all days of their stay.

Pricing

The price rule set in Trybe applies only to the spa elements of the package. Room pricing is pulled live from Guestline and added on top.

Example:

  • Spa Access - revenue allocation £50

  • Treatment - revenue allocation £80

  • Afternoon Tea - revenue allocation £50

  • Package price set in Trybe: £180

  • If the cheapest available room is £200, the guest will see: £380

Important: The room price shown to the guest is always the cheapest available room for their selected dates. The final price may change depending on the room the guest selects.

Step 3 - Revenue Centre Mapping

By default, unaccounted revenue within a package will be assigned to the 'Room' revenue centre. You can update the Default Revenue Centre to account for this.

For each spa choice in your package, configure the revenue allocation to the appropriate revenue centre as you would for a standard package.

Guestline requirement: For every Revenue Centre assigned to a spa choice, you must create a corresponding Upsell Product in Guestline where the Product Code matches the Revenue Centre ID in Trybe. See the companion Guestline setup guide for full instructions.

For Trybe's default revenue centres:

  • Default Spa Treatment - enter Product Code as spa in Guestline

  • Food & Beverage - enter Product Code as fb in Guestline

Step 4 - Setting Up Upsell Choices

If you want to offer optional add-ons (e.g. an upgrade treatment, extra spa access), there are two essential settings to configure correctly:

1. Set a Price Change on each item

Select the three dots next to the item > Edit price change > set the additional price the guest pays on top of the package price (e.g. £50). This must be configured as a Price Change, if it is not, revenue will not be allocated correctly to the reservation in Guestline.

2. Enable the 'Optional' toggle

On the Choice settings, select More Options and toggle on Optional. This ensures the guest is not required to select the upsell item to complete the booking.

Go-Live Checklist

Before publishing your overnight packages, confirm the following:

  • Standing Order signed and Trybe has confirmed the integration is live

  • Overnight toggle enabled on each relevant package type

  • Correct Guestline rate plan selected per package

  • Number of nights set correctly per package

  • Spa choices added with correct revenue centre allocation

  • Revenue centres mapped to corresponding Upsell Products in Guestline

  • Any upsell/optional choices configured with a Price Change and Optional toggle

  • Test booking completed end-to-end to confirm reservation drops correctly in both Trybe and Guestline
