What to do if you don't want the member to pay their membership joining fee?

How to waive a membership joining fee for a renewing client by discounting the membership order.

This guide covers what to do when a client is renewing their membership but you do not want to charge them the joining fee again — for example, if their previous membership has expired and a new one needs to be created.

When a new membership is added to a client profile and the membership rate includes a joining fee, the membership will appear in a 'Set up fee unpaid' status...

To bypass this fee, you will need to discount the joining fee on the membership order so the outstanding balance becomes £0.

Steps to follow to avoid paying the set up fee...

  1. Navigate to the membership order linked to the membership.

  2. Select 'Apply discount' and choose the appropriate discount to bring the outstanding balance to £0.

3. Once the discount has been applied, select 'Check out' to complete the order.

Important: If you do not select 'Check out' on the membership order, the membership will remain in 'Set up fee unpaid' status. Once checked out, the membership status will update to one of the following depending on the situation:

  • No mandate has been provided

  • Manual payment outstanding

  • Active

Please note: Discounting the membership order is the only way to bypass the set up fee. If you were to cancel the membership order rather than discounting it, the membership status on the client profile will become permanently stuck in 'Set up fee unpaid' and there is no way to change this status. Always use the discount method described above.
