Within an order there can be one Lead booker and multiple guests. The lead booker will be the client whose details appear in the client details section on the order overview and the guest will be any guests that have been added to the order but are not the lead booker.
In the example below, the client details section is linked to the client Daisy Taylor and the item in the order has been booked for this client...
Therefore, in the "Guests" tab there is a "Lead booker" label next to the client...
If I then want to add an item for a guest in the same order, there are two ways of adding the guest. The method chosen will determine if the guest is classed as a "Customer" or not. Once you select the offering required, you then "Add guest"...
A pop up then appears where you can select from "Guest name" or "Customer search", which option you choose here will determine if the guest is marked as a "Customer" or not...
Adding a guest via "Guest name"
For this option you will just enter in the name and "Add"...
Adding a guest via "Customer search"
You would use this option if the guest has a client profile in the system already. For this option you will enter the name or email of the guest and select "Search". Trybe will then search for this client profile in the system so you can select this client...
In the "Guests" tab you will then see this effects whether or not the guest is marked as a "Customer". As "Rose" was added via the "Guest name" option, this guest IS NOT a "Customer" because they are not linked to a client profile. However, as "Poppy Moore" was added via the "Customer search" option, this guest IS marked as a "Customer". The "Customer" label essentially lets you know whether or not that guest has a client profile...
Converting a Guest to a Client
If you want to convert a guest to a customer so they have a client profile in the system then you can easily do this via the "Guests" tab on the order. Select the three dots next to the guest and select "Convert to client"...
A pop up will then appear so you can start entering the name, if the client profile already exists in the system then you can select the client from the list or if the client doesn't exist you can use the "Create" option to quickly create them...
Therefore, you have the ability to convert the guest to a client. This is really useful if the guest has filled in the intake form before they were recognised as a client in the system because this gives you the opportunity to convert them to a client so the intake form already filled out on this order then appears on their client profile.
For example, the intake form for the guest, Rose, was filled out before she was linked to a client profile...
Once I convert this guest to a client...
This then links the intake form of this guest from this specific order to the client profile...
As long as the guest has a "Lead booker" or "Customer" label next to their name in the "Guests" tab on an order, then intake forms filled out for that guest will appear on their client profile.
