Deposit Ledger V2

This guide will go through the deposit ledger report and help to understand the information that makes up this report.

Overview

The deposit ledger is a report that provides a snapshot of the amount of deposits being held in Trybe as of the date selected. This will allow you to see the balance of the deposits being held as well as each individual order that makes up this balance.

To find this report go to Reports > under the Finance heading you'll see deposit ledger (V2) > once selected you'll be directed to the deposit ledger report as shown in the below screenshot.

What information is displayed in this report?

Any bookings that have a payment to the deposit account that have not yet been checked out as of the date selected. This will include bookings with a payment for appointments, sessions, area bookings and packages.

In the case of a partial payment for courses, retail products and vouchers this will also display as part of the report as this is seen as a deposit at the time. Orders that include partially paid courses, retail products and vouchers that are then paid in full will be automatically checked out and then removed from the report on the date they have been checked out.

What is not included in this report?

  • Orders that have been checked out before the date selected - Any previous orders that have been paid in full and checked out before the date selected will not feature in this report.

  • Payments for voucher sales - Payments for vouchers that have been purchased in Trybe will not display in this report, this is due to the voucher being checked out as soon as the order is paid in full. If a voucher sale is part of an order that has not been checked out then the deposit will display.

How to use the deposit ledger?

  • Date - Here you can select the date you wish to view. This will then display the deposits held as of that date.

  • Summary - This will display the total amount of the balance at date column. This will define the amount of deposits being held as of the date selected.

  • Payable - This will display the order reference the deposit relates to. You can select the order reference to be taken straight to that order.

  • Deposit at date - This will display the amount of the deposit that has been paid as of the date selected.

  • Deposit redemption at date - This will display the amount of the deposit that has been redeemed. This will typically display as 0.

  • Balance at date - This will display the deposit at date minus the deposit redemption at date

You will be able to Export this report to a csv and this will display the following:

  • Column A - Payable ID - This is the unique ID relating to the order within Trybe.

  • Column B - Payable type - The category of the order, this will always be "basket"

  • Column C - Payable reference - This is the unique order reference you can use to identify the booking in Trybe.

  • Column D - Gross total - This is the basket total of the specific order. You may have more gross total than balance/deposit if there is an underpayment on an order.

  • Column E - Revenue date - This is the date in which you are expecting the revenue to be realised. If there is an underpayment on offerings without a revenue date ( voucher purchases, course purchases or product purchases ) then there will be no revenue date as this is generated once the order is checked out.

  • Column F - Balance - This is the amount of the deposit remaining, the calculation for this is deposit minus deposit redemption.

  • Column G - Deposit - This is the amount of the deposit that has been paid.

  • Column H - Deposit redemption - This is the amount of the deposit that has been redeemed. The deposit redemption is triggered when an order is checked out or no showed.
