Creating rotas

Rotas need to be set up for all practitioners in order to enable their availability. If no rota is set for a practitioners they will not be able to be booked for any treatments.


To create a rota you must have created your practitioners first. To do this go to Settings > Resources > Practitioners > Add practitioner.


To add a Rota, go to Settings > Practitioners > edit > Rotas > Add new rota.


You can enter a 'Date range'. To do this press 'Date range' and choose the date range of how long you want the rota to run. You must enter in a start date however, you can leave the end date of the date range blank if it is a continuous rolling rota. If it is not a continuous rolling rota, then you can select a date for the rota to end on the date range option.

You must enter how many weeks this rota alternates on. If it is the same rota each week, keep the 'Repeating weeks' at '1'. If the practitioner works on bi-weekly rotas, 'Repeating weeks' should be '2'. (Proceed to 'REPEATING WEEKS' to see this feature in more detail)

To create shifts for each day, select 'Add slot' and typing in the start and end time of the shift.


These times can be deleted by pressing the 'x' option next to the shift. Press 'Create' when complete.

Select 'Breaks on a rota' step to see how you can implement the breaks into your practitioner's rota.

You can edit or remove the rota by selecting the three dots next to the rota. You can 'Edit' and this will allow you to edit the existing rota, if you make any changes select 'Save changes' so they are applied to the rota.


Once all rotas are set up you can manage your rota. To view this guide press 'MANAGING A ROTA'.

How to add repeating weeks to the rota

To add repeating weeks to the rota change the 'Repeating weeks' amount; if the rota works on an alternating 2 weeks change to '2', alternating 4 weeks change to '4' etc.

You can do the same process of adding the shifts for each repeating week. Select 'Add slot' to any of the days in Week 1 so you can start adding the timings. And select 'Add slot' to the days in Week 2 you want to add a shift to.

Press 'Create' when done.


Once complete you will be able to see the rota for the repeating weeks, as highlighted in the following screenshot you will be able to see the shift pattern for each week.

How to include breaks on a rota

If you want to incorporate the breaks into the rota this can be done when you add the days and times to the rota.


You can break the shift up into the morning and afternoon shift. In the example for Tuesday's shift, the morning shift of 09:00-12:00 has been created. To add the afternoon shift, press 'Add slot'. (Here the shift is 12:30-17:00) Once all shifts are adding press 'Create'.


Therefore, this shift pattern has created a break between 12:00-12:30. This means this practitioner will not have any availability at these times, therefore, customers will not be able to book this practitioner for this time.


If this is a rolling rota this break will be included continuously.

Can you add more than one rota to a practitioner?

Yes, you can add as many rotas to a practitioner as you need. To add an additional rota to a practitioner, go to Settings > Resources > Practitioner > edit > Rotas > Add new rota.


You will be able to see an overview of the rotas set up for that practitioner and the dates and times of their shift for the specific period of time. To edit these you select the three dots next to the rota > edit. This will open the pop up where you can edit the rota by removing or adding slots. Or you can delete the rota by selecting three dots > Delete.
