What are zones?
Zones are a way for you to break down and categorise your practitioners, rooms and bookable areas. For example, you could have a zone called 'Spa', 'Leisure', 'Activities' etc. You can then assign the zones to practitioners/ rooms/ bookable areas. These zones will be used to filter the calendar so you can view a certain zone, making it easier to view all leisure for example.
How to create zones
Head to Settings > Zones > Add zone > enter in the name > Add.
You will be able to edit or delete these zones by selecting the three dots next to the zone > edit/ delete.
How to assign zones to practitioners
To assign the zones you have created to practitioners head to Settings > Practitioners > edit.
On the practitioner's details you will see a part called 'Zones'. Press this then a drop down menu of all of the zones you have created will appear. Select the zone that this practitioner belongs to. Remember to press 'Save' after to save all changes.
You are able to assign more than one zone to the practitioner. So if this practitioner takes treatments but also does activities, you can select both 'Spa' and 'Activities'. Therefore, this practitioner will appear in the calendar when you filter by either of these options.
To remove a zone from a practitioner simply select the 'x' next to the zone you have previously selected. This will then remove this zone from the practitioner.
How to assign zones to rooms
You can also assign the zones you have created to the rooms in the system.
To assign zones to rooms head to Settings > Rooms > edit.
On the room settings there will be a part called 'Zones'. Press this then a drop down menu of all of the zones you have created will appear. Select the zone/ zones that this room belongs to. Remember to press 'Save changes' after to save all changes.
You are able to assign more than one zone to the room. So if this room falls into multiple zones you can select more than one. Therefore, this room will appear in the calendar when you filter by any of these zones that you have assigned to the room.
To remove a zone from a room simply select the 'x' next to the zone you have previously selected. This will then remove this zone from the room.
How to assign zones to bookable areas
You can also assign the zones you have created to the bookable areas in the system.
To assign zones to rooms head to Settings > Bookable areas > edit.
On the bookable areas settings there will be a part called 'Zones'. Press this then a drop down menu of all of the zones you have created will appear. Select the zone that this bookable area belongs to. Remember to press 'Save details' after to save all changes.
You are able to assign more than one zone to the bookable area. So if this bookable area could be associated with multiple zones you can select more than one. Therefore, this bookable area will appear in the calendar when you filter by any of these zones that you have assigned to the bookable area.
To remove a zone from a bookable area simply select the 'x' next to the zone you have previously selected. This will then remove this zone from the bookable area.
How to filter by zones on the calendar
On the new calendar you can now filter by the zones you have created!
To do this head to the Calendar > View options > you can then choose whether you want to view the calendar by Practitioners/ Rooms/ Areas > choose the zone > Done.
Without using the 'Zone' filter this will just show you all the practitioners/ rooms/ areas. However, if you select a 'Zone' it will filter down what is shown on the calendar, making it easy to see all practitioners/ rooms/ areas in this specific zone.
For example, you could use this to quickly view who else would be able to take any activity session if the person who normally takes the session is off sick.
