Email campaigns provide an effective way to keep your clients updated about session changes, bill reminders, and general news about your Spa.
In this guide, we will explore the process of creating email lists from the different sources available in Trybe, such as calendar sessions, the orders tab, and the clients/memberships tab.
We will also discuss how to manage these email lists by turning them into campaigns using the 'Emails' section in Trybe, and give you details on how to execute effective email campaigns. To find this section, you will have to click on Clients > Emails.
Please note: this feature is currently in Beta testing. If you don't have this feature enabled in Beta on your site and you're interested in Beta testing this for us please contact [email protected]
Creating an Email List from the 'Clients' screen
In Trybe you can create an Email List via the Clients section and by using the various filters at your disposal:
To begin, access the Clients tab on the left-hand column (See image), and use the filters to segment your clients based on specific criteria; like labels, marketing preferences, or whether the clients have a membership or not.
Once you have the data selection you are looking for, select the 'Email' button in the top right and give a name to your newly generated email list of clients.
It will then take you to the 'Email' section of trybe where you can manage your Email List before turning it into a Campaign. See this section of the help guide below on how to proceed from here.
Creating an Email List from the 'Memberships' screen
You can also create an Email List from the 'Memberships' section within 'Clients':
Using a very similar process to the previous step, you can start this by accessing the 'Clients' tab in Trybe, on the left-hand column, and selecting the 'Membership' tab within that.
Now you can use the filters to segment clients based on specific criteria, like membership expiration, recent joiners, membership status, etc.
Select the 'Email' button in the top right and give it a name to generate a list of all the clients that display the given filter parameters.
It will then take you to the 'Email' section of trybe where you can manage your Email List before turning it into a Campaign. See this section of the help guide below on how to proceed from here.
Creating an Email List from the 'Orders' screen
In the orders screen, you can use the filters to segment data based on specific criteria, like order status/date, order labels, appointment/session/package type, 'added by user', sales channel, outstanding balances, and more.
Use the filters on the left to generate the order data which will then be displayed on the right, then click the 'Email Customers' button on the top right of the page and give the list a name and Trybe will generate an email list to the account holders of all those orders that were displayed.
It will then take you to the 'Email' section of trybe where you can manage your Email List before turning it into a Campaign. See this section of the help guide below on how to proceed from here.
This is a great way to bulk-email all the orders that have outstanding balances. You can just select the 'Only outstanding balances' tab at the bottom of the filter selection and then 'Email Customers' to email all.
Creating an Email List to 'Session' attendees - via the Calendar
If you need to message attendees of a session about a time change, a date rescheduling, a reminder to bring equipment, or anything else, it's very easy to do so in Trybe.
Simply head over to the calendar and select the session with the attendees that you need to message and click on that calendar tile. At the top, you'll see the button 'Email guests', click this and then give the list a name when prompted. This will then arrange all the attendees of this session into an 'Email list' and take you to the list in the 'Emails' section of Trybe.
This will also add any customers that have been placed on the waitlist for the session to the email list.
Managing Email Lists
Once you have created an email list from one of the many sections in Trybe featured previously in this guide you can then go ahead and manage the generated list.
To manage an email list, click 'Clients' > 'Emails' on the left-hand side of Trybe. Then go in and click the 'Email Lists' button which will open up the previous email lists you have created.
Once here, you can then open up any lists that you have previously created, see the subscribers and use the Re-populate button to update the list if any new data has come in that fits the criteria for which the list was created.
You also have the details section, where you can view and edit the name of the email list and criteria of the list. This is the criteria used to create this list and what will be used if you 'Re-populate' the subscribers.
And when your done you can click 'Email this list' which will ask you to give a name and a subject, thereby turning it into a Campaign in Emails>Campaigns (see next guide on campaigns).
Managing Email 'Campaigns'
Once you have successfully created, populated, and managed an email list it will get turned into an email 'campaign' in Trybe. This will be where you can add the text of your email and adjust the parameters.
The content page is where you will add in your text, links, and any images. For formatting and to add in images just click into the text box and then click the plus (+) icon that shows up. This will give you the option to change the text, add a header, input a table or a list, or add images.
The details page is where you can change the name of the email, the subject line, and there is a drop-down selector to change the 'Email list' that this email will be sent to.
And finally, the Send page is where Trybe will perform a few final checks on your email to show the number of subscribers it will be sent to, how the subject will display, the content where you can try test sending the email to an address in the box that pops up after selecting 'test send', and report to you whether your links are valid.
You also have the option here to send immediately or schedule send at a future time that best suits you.
Remember after adding your text and images in the content page to press 'Save' before exiting out to another page or section in Campaigns, or your draft might not be saved.
